Viewing student information in Blackboard: Class Register, Photo Roster or Gradebook?
Students can upload an “avatar” to Blackboard which will show on the Class Register and when they post on discussions. You can view their official ID card photo using the Photo Roster tool.

Staff Guide: How to view staff and student information using the Class Register and Photo Roster. Using these tools you can view student photos, find their ID number and basic profile information, print and export class lists.
Viewing the Class register
Select the Class Register from the Details & Actions menu. The register is visible only to staff by default.
You can choose grid view or list view.
- Grid view is sorted automatically by role and then by last name. Roles appear in this order: instructors, teaching assistants, graders, course builders, and students. To manually sort the list, switch to list view.
- List view is sorted by last name by default. Select the Name or Role headings to sort the contents. You can also see any accommodations applied to students.
Filter and search the Class Register
You can view the roster by roles, such as instructors or support faculty. The filter options are based on the roles found in your course. You can also filter by Students with accommodations. Students with accommodations appear with an icon next to their names.
Viewing additional information
- Select profile card to view the member information panel of staff on your course.
- Select a student profile card to see their student overview.
- Select the ellipses to view the more options menu to open member information or accommodations panel.
- Select the purple speaker icon to hear the recording of their name.
- Students with accommodations will be indicated with a purple flag.
Enrol people, changing and removing enrolments in the Member Information panel
You should not need to routinely add, remove or change staff and student enrolments from your teaching courses, as the majority of enrolments are automatically populated on your course from information in the Banner Student Records system.
When it is appropriate, you can add and remove users, or change their role by selecting their name and opening the Member Information panel.

When you cannot remove or change a student enrolment
Where there is no option to view a student’s member information you cannot change or remove their enrolment in Blackboard.
Their enrolment information is being automatically synced to Banner or another data source which needs to be updated instead. To change or remove these students, please contact the Blackboard team via ServiceLine and we can provide guidance on how best to make your desired changes.
When you cannot remove or change a staff enrolment
Where no role setting or bin icon is present in the Member Information panel for non-student users, you cannot change or remove their enrolment in Blackboard.
Their enrolment information is being automatically synced to Banner or another data source which needs to be updated instead. To change or remove these enrolments, please contact the Blackboard team via ServiceLine and we can provide guidance on how best to make your desired changes.
Update course staff list and set a primary instructor
If a course has multiple instructors, any of them can be designated as the primary instructor from the Class Register. Open an instructor’s Member Information panel and select the Primary instructor option. The primary instructor is listed first in the roster. If multiple primary instructors exist, they’re listed alphabetically before other instructors in the roster.
Add accommodations for a student
You can set accommodations for individual students. You can exempt students from assessment due dates or time limits.
You can also give an individual student an exception on a specific test or assignment. An exception includes additional attempts or extended access, even if the assessment is hidden from other students. An exception overrides the two settings applied to everyone else for only that specific assessment.
Accommodations are set manually at a course level.
Students who have accommodations on your course are indicated with a purple flag icon.
View Student Overview
Throughout your course, selecting a student’s name or image will take you to their Student Overview page. This will show information such as:
- Full name.
- Date a student last accessed your course.
- Accomodations.
- Username.
- Name pronunciation recording (if provided by the student).
View and print student ID card photos with the Photo Roster
To view the ID card photos of your class, use the Photo Roster tool in Blackboard.
- You must be enrolled on the course as an Instructor or School Office Administrator.
- Enter the course and locate Books & Tools on the left-hand menu, then select Photo Roster.
A new page will load showing all students currently enrolled on the Blackboard course.
- You can order by last name, first name or student ID.
- You can filter the list by student ID, name, email or group.
- If applicable, child course ID or groups that the student has been allocated to will show on their profile card.
- Selecting the student name will allow you to directly email the student.
Using the Blackboard Gradebook to export a list of students on your course
Need a exportable list of students on your course? Go to the Gradebook and then select the in/out icons towards the top right to download marks and records from the course.
The download will include Last name, First name, Username and Student ID as Tab-separated File (.xls) or Comma Separated Values (.csv).
Note: You must have one markable item in your course for the Grid view of the gradebook to appear.
Find additional student information in other systems
The Tutor Dashboard supports staff to see student information including student ID card photos, module enrolment information from Banner, marks from Banner, and marks as recorded in Eassignments.
You can view attendance and other information about the students you teach in MyEngagement.
Contacting student with messages
Messages are set to be Read-only for students. You can send a message to a student or group of students and all messages will be sent through to email as well as visible in the Messages section of the course and Blackboard Navigation.
